Conference Services

The Conference Services Assistant within Housing & Residence Life supports guests, summer camps, and conference organizers by providing information or coordinating resources needed for success. Students in this role will broaden their understanding of event planning and logistics, enhance their organizational and time management skills, and cultivate effective communication methods that will complement their career ambitions.

Responsibilities

  • Assist with event space and conference lodging reservations by processing online requests, connecting with clients via email and phone, and maintaining the event space calendar and occupancy chart 
  • Coordinate the ordering of auxiliary services (maintenance, custodial services, access requests for meeting & event spaces, AV equipment, etc.)  
  • Assist with invoicing for guest apartments, event spaces and conferences 
  • Inspect guest & event spaces for proper equipment set-up, layout, and function prior to use 
  • Provide administrative support for conference services including answering phones, routing calls appropriately, responding to emails, and answering questions related to Conference Services and guest housing 
  • Assist with guest apartment and intern housing reservations including processing online requests, contacting guests, and creating and delivering check-in materials 
  • Serve in an on-call rotation supporting conference services guests 
  • This position is required to live on campus as a resident in a residence hall  

        Qualifications

          Required Qualifications

          • This position is required to live in on-campus in a residence hall  
          • Enrolled as a full-time student in good standing as defined by the University at the time of 
            employment which includes a successful conduct/honor code review 
          • Maintain a 2.5 cumulative and semester GPA the semester prior to employment 
          • Be available for 20-hours per week

                  • Demonstrated attention to detail, dependability, and professionalism 
                  • Ability to work independently as well as follow verbal and written instructions 
                  • Demonstrated ability to critical analyze situations and actively problem solve 
                  • Experience in event planning, coordination, or logistics  
                  • Strong interpersonal and communication skills 
                  • This position may require availability during university holidays, breaks, nights, and weekends
